To accomplish its mission, PSI Malawi is inviting applications from suitably qualified candidates to fill the position of RH Program Assistant based in Lilongwe:
Reporting to Deputy Head of RH, the Program Assistant is responsible for administrative, logistical, programmatic, and communication support to the Reproductive Health Program.
S/he will provide logistical, communication and administrative support to all the Reproductive Health program staff.
S/he will serve as the focal point for coordinating the procurement requests, transport arrangements, logistic arrangements for program activities and communication within the Reproductive Health team.
SPECIFIC DUTIES AND RESPONSIBILITIES:
√Provide various administrative and logistical support to the Reproductive Health Program team, i.e., organizes and coordinate logistics for meetings, trainings and workshops
√Handle basic correspondence including drafting of letters, telephonic follow up with partners and stakeholders on issues identified by the program staff
√Coordinate with Administration Unit to make travel and accommodation arrangements for program staff and consultants
√Coordinate the procurement requests from all health program staff and assist Procurement Manager to procure appropriate supplies for the day-to-day running of the program and for meetings and workshops to ensure that the supplies are available on time
√Ensure timely and appropriate arrangements for meetings held within Lilongwe Office as well as important meetings with partners and stakeholders that may be held outside the office (booking of conference room, arrangement for coffee breaks, stationery etc)
√Develop and maintain a filing system that allows easy retrieval of all documents related to health programs, including communication with key Government Departments, donors and other partners
√Type and photocopy documents as required by program staff
√Serve as program backstop when program staff are travelling and follow up on important activities
√Provide appropriate support to partners to ensure timely responses between partners and Health team
√Assist the RH team to maintain and updating of Health Program resource centre materials
√Provide logistic support to consultants as and when required
√Assist in orientation process of new employees to the program
√Coordinate with Administration and IT Units to ensure that all the equipment and machines (eg: printers, photocopier, computers, telephones) are in good working condition (replacement of cartridges etc)
√Perform any other duties as assigned by the Head of RH or her designates.
√Diploma in Office Administration or any other related field with a minimum of 3 years’ experience working in office administration and program support.
√Strong verbal and written communication skills
√Ability to work effectively with different program teams with minimum supervision
√Experience working in a non-governmental organization
√Ability to use MS Word, Excel and e-mail/internet
√Excellent organizational skills and efficiency
